Customizing Your AI Receptionist
Fine-tune your AI voice, greeting, tone, intake questions, custom instructions, after-hours behavior, and service area to match your brand perfectly.

Voice selection
Navigate to Settings → AI Voice. You can preview each voice and switch instantly. The change takes effect on the very next call.
Tip: Choose a voice that reflects your brand — a warm female voice for a dental clinic, a confident male voice for an electrical contractor.
Greeting message
Your greeting is the first thing callers hear. Keep it under 15 words and include your business name. You can set separate greetings for business hours and after hours.
Good: "Thanks for calling ABC Plumbing, how can I help?"
Avoid: Long, formal scripts that make callers wait.
Tone and personality
Choose between Friendly, Formal, or Casual tone. This adjusts how the AI phrases questions and acknowledgments throughout the call.
Intake questions (slots)
The AI collects specific information from each caller. Default intake includes: name, suburb, service type, issue description, urgency, and preferred callback time.
You can reorder, add, or remove questions from Settings → Intake Questions. Mark fields as required or optional. Add custom fields like "Property type" or "Insurance provider" if your business needs them.
Custom AI instructions
Write free-text instructions that the AI follows on every call. Examples:
- "Always ask if they have a preferred plumber from our team."
- "Mention that we offer 10% off for first-time customers."
- "If they mention gas, emphasise that we are licensed gas fitters."
After-hours behaviour
Set your business hours per day of the week. Outside these hours, the AI uses your after-hours greeting and tells callers someone will call back when you reopen.
Tip: Even after hours, the AI still captures full lead details. Many trades businesses find their best leads come from after-hours emergency calls.
Service area and emergency keywords
List the suburbs you cover so the AI can confirm whether callers are in your area. Add emergency keywords (e.g. "flooding", "gas leak", "no power") so the AI correctly triages high-priority calls and sends you an urgent SMS notification.
